Introduction
- What's in this Pack - How to Use It
Getting Started
1. You can use all the materials directly from the CD - but if
you wish to make changes, you will need to transfer the files to your
computer hard drive (see the How To
section). It may also run faster and more efficiently directly from
your hard drive.
2.
Take a look at the Site
Checklist. You can print it out or work on screen.
- Mark the items that apply
to your site
- Cross out or delete the
items that don't apply - but at this stage leave the box numbers
in place to help you cross reference with the script and the PowerPoint
- Extend the lists with
additional points specific to your site

Open up the Script
- again print it or work on screen. The plain text is intended to be
the script you deliver, the notes in italics are instructions for the
facilitator's information only.
- Remove the numbered paragraphs
that you marked on the checklist as not applicable
- Insert paragraphs for
the new items added to your checklist
- Complete any sections
with italics notes e.g. site emergency phone number
You will also see the script
displayed under each slide in the PowerPoint Speaker's Notes view. This
will help if you need to rehearse the presentation or practise the timing.
4.
Open up the PowerPoint
presentation
- Remove the numbered slides
that correspond with the numbers on the checklist but if you
remove them (in Slide Sorter view) starting at the beginning, the
numbers will automatically adjust, therefore it is recommended
that you start from the end! Each slide does have a unique number
burnt into it to so that you can double check you have retained the
correct ones.
- Create new slides to match
the new paragraphs
- Complete any slides that
require additional information (e.g. site emergency phone number).
- Time the presentation
following the changes you have made. Consider the importance of including
ALL health and safety information needed for the induction, balanced
against the time allocated for induction sessions. Too much information
can confuse, lead to people becoming impatient or losing concentration,
so try to stick to the key facts.

Take a look in the Picture
Gallery
As every site is different, we cannot include illustration which will
exactly match your site, therefore we have included some cartoons and
some general pictures. If you like the cartoon style, more are included
in the gallery for you to substitute for photos, or add to new slides
you create. We have also included additional photos for you to use,
instead of cartoons or to help you create expanded sections.
Alternatively, if you have suitable photos of your site, these will
help make the points specific to your site or organisation.
6.
Facilitator's Guide
- This includes pointers to make sure everything runs smoothly. There
are also some notes on preparation and delivery for anyone who is unfamiliar
with conducting training or induction sessions.
7.
Go to the Toolbox and open the Qualification
Questionnaire
Modify the questions to be appropriate for the level of understanding
your organisation requires from people new to the site. Remove questions
that don't apply. Create new questions for specific items essential
for health and safety on your site.
As we don't know your site,
some of the questions are quite open but you may prefer to change them
to direct questions that only require a tick in a 'yes' or 'no' box.
Bear in mind that some people
struggle with written materials. If you feel this could apply, it is
suggested you inform attendees that at the end of the induction session
they will be asked to satisfactorily answer a number of questions before
they will be authorised to go on site. Give them the option of a 'one-to-one'
discussion with the person conducting the induction, or if they prefer
to save time, complete their answers on a written sheet.
8.
Site Pass - Decide
which method best fits with your site practices for demonstrating that
people are authorised to be on site. This pack provides the templates
for:
- Site
Accreditation Certificate - which you can modify to include
your company name and logo. Either fill in the certificates on computer
and print out, or print out a batch and write in the date of certification
and name of each person that completes the Questionnaire to your satisfaction
- Site
pass stickers which can be stuck onto clothing or tool
box. (Warning: DO NOT put any kind of stickers onto hardhats
without checking that the adhesive will not react with the plastic
and weaken the structure.) If required, these can include a date or
unique number which you match against a register of names of authorised
contractors. The sticker template used in this pack is for standard
address labels of 10 per sheet, size 57 mm x 99 mm.
- Site
pass badge - modify the content to suit your site. These will
need cutting and folding to insert in standard plastic clip-on badge
holders. (Badge holders are NOT included in this pack)
9.
Site Register
Keep a record of everyone who attends the site induction sessions. An
Excel form is included in the pack for you to keep as a computer based
record, or print out the sheets to keep in a loose leaf folder.
If you are issuing
numbered passes, record
- the number of the pass
allocated to each individual
- the name of the person
attending
- their company
If you are keeping a paper
register
- ask each individual to
sign the register on completion of the induction course
- The facilitator or authorised
representative for the site should sign next to each entry
- Tick the PASS column if
their Qualification Questionnaire response was adequate or make a
note if you have any concerns (See section 4 of the Facilitator's
Guide)
In the event of a query,
the Register allows you to verify that individuals have attended the
induction course and are authorised to be on site.
If you have long term contractors
on site, it is a good idea to run refresher courses each year. Check
the register to see when a group is due for re-qualification.
When changes take place on
site, you will modify the induction course accordingly. Note the date
of changes and make sure that visitors and contractors returning to
site AFTER the changes were made, go through the revised course. The
Register allows you to check whether their induction came before or
after the changes were made.
10.
Reminder Handout
Basic reminders are included in this template - it is suggested that
you modify it to include the most important items for your site - particularly
a phone number to contact in the event of emergencies. These have been
designed to either print individually onto A6 size postcards, which
will fold once to fit easily into an overall pocket, or print four to
a sheet of A4, which will then need cutting into separate handouts.
It is recommended that thin card is used (and laminated if possible)
as paper handouts very easily become screwed up or lost.
Your customised package can be kept very simple - or you can make it
as sophisticated as you wish. For example:
- Add your company name
and logo to an opening slide at the beginning of the PowerPoint
- Add your company logo
to each slide
- Use existing photographs
or take new ones to insert into the PowerPoint to illustrate key areas
of the site or examples of signage
The following is a basic
guide to help you customise this package.
How To . . .
Transfer
files to a hard drive: The files on the CD are read-only. To enable
you to modify any of the sections, you will need to copy the files to
your computer. In Windows Explorer, click on the CD drive, click on
the folder of Right on Site files to drag-and-drop onto your desk top
(or preferred destination).
To access the PowerPoint
presentations from the Right on Site main menu screen, click on the
PowerPoint icon. This will give you the option to PLAY or EDIT.
If you select play, you will
be able to click through all the slides in the pre-set order. (Right
click to display as full screen).
Select EDIT when you wish
to modify any of the slides.
If you are not familiar with
modifying PowerPoint programmes or inserting pictures, there are excellent
instructions in PowerPoint if you click on the ? on the tool bar.
There are a number of ways
to carry out a wide range of operations, but this is a very simple guide:
Change
text
Make sure the presentation is in Slide View (select from the drop-down
View menu). Highlight the text to be changed and delete or add as in
a word processing package
Add
a new slide
In Slide View, select new slide from the Insert drop-down menu. From
the visual options, choose if the new slide is to be a bulleted list,
heading only or suitable to accept a picture. This will be created with
the same background as the rest of the slides in the section and will
show outline boxes where you can add text.
Change
the order
From the View drop down menu, select Slide Sorter View. In this view,
you will see thumbnails of all the slides in the presentation. Pass
the cursor over the slides until you reach the slide to be moved. Hold
down the left mouse button and drag the slide to the preferred position.
Delete
a slide
In Slide Sorter View, left click once on the slide to be deleted then
either use the 'scissors' cut command on the tool bar or hit delete
on the keyboard.
Copy
a slide
In Slide Sorter View, left click on the selected slide, hold down the
control key (a small + should appear next to the image) and drag the
copy to the required position.
Insert
a picture
Create a new, blank slide in the required position. If you know the
position in your files of the picture to be inserted, in Slide View
open the Insert drop-down menu, move down the menu to Picture, follow
the arrow across to choose 'From file' and select the folder and file.
Alternatively, open the package you use to view pictures, select and
open the picture you wish to insert. Click the copy option on the menu
bar, return to the blank slide in PowerPoint and click Paste. This will
insert the picture. To make it the full size of the slide, move the
cursor over the corner of the image until the diagonal arrow appears,
then drag the corners to the required size.
Change
the Qualification Questionnaire
If you need to add new boxes for additional questions, either:
- position the cursor in
the bottom right hand box on the last page and press the TAB key on
the keyboard, this will create one new row of boxes, OR
- position the cursor in
the 'Number' box, Select the 'Table' drop-down menu, left click on
the item 'Insert Rows'. A new row will appear above the line where
the cursor is positioned.
If you need to create additional
space in a box, position the cursor at the end of the text in the box,
then press the Return key to create as many lines as required.
The content
is designed to be adapted to suit your needs, within your business.
However, if used by consultants, please note that an acknowledgement
must be included that this package was designed and produced by Shot
