Facilitator or Trainer’s Delivery Notes

Introduction

This PowerPoint has been developed to help you train others in the requirements of the Hazardous Waste Regulations and The List of Waste Regulations. It is assumed you will have some understanding of how these regulations operate, but if you need further background information, beyond the contents of this package, the Environment Agency provides comprehensive guidance on most aspects of the legislation.

The purpose of the PowerPoint is to help save you time and effort in putting together a training package. This product provides not only a structure and illustration but also includes a ready-to-read script. So if you are new to presentation or training you should be able to use this programme as it stands. However this package has been designed to be flexible and with the individual requirements of trainers in mind, so feel free to modify the slides, remove those you don’t need, add your own illustrations and change the script according to your own needs and preferences. Because we want this package to be as widely used and as versatile as possible we have deliberately left out the “bells and whistles” such as animations, sophisticated graphics and other effects. Instead we have concentrated on the content and structure. This should make it easier for you to change the slides to align them with your corporate style.

Using this PowerPoint training package

First consider your audience and their training needs. You will probably have undertaken a training needs analysis and identified those people that need training (and to what level), to ensure compliance with the legislation. If you haven’t, this needs to be a first step. This will allow you to tailor the PowerPoint to the needs of individual groups. For example you may have a group of managers across several sites that need to be aware of the complexities of the legislation and know how to classify waste. On the other hand you may only have a need to train sections of the workforce in waste segregation and avoiding mixing hazardous waste. Clearly these two groups will require different approaches and presentations.

This sounds obvious but unless you think it through and put the appropriate plans in place, the outcome may not be as expected. This can be a particular problem where information and training is “cascaded” within an organisation. (Our video crew once had to sit through a two hour induction complete with detailed instructions on ‘good welding practice on site’ - because ”that was the rule” although we were only on site to shoot video footage. Hmmmm.)

Don’t forget this is a dry subject, it is not a mainstream interest to most people. So try and deliver it in ‘bite size’ chunks and add humour where you can, relating it as much as possible to your own organisation’s daily reality and waste streams.

If you want to derive a little light humour from the complexity of the regulations we have included a slide which illustrates an extract from the Dangerous Preparation Directive. Read out the formula and proceed as if assuming the audience has understood it and wait for their reaction. Some audiences will get the joke immediately, others will need helping along – some audiences feel they need permission to laugh - it may depend on who else is sitting amongst them. The very last slide on the Amendments to the Scottish Regulations have been added for a similar reason – see the script notes.

Because this product is flexible you can use it in many different circumstances for example:

  • Training sessions – this is ideal for tailoring to the needs of every audience
  • Workshops where you want to outline the challenges and stimulate discussion
  • Conferences where you need a presentation you can easily tailor on the day
  • Awareness Raising - when you have clients who don’t even know the legislation exists

This PowerPoint has been designed for use as a stand-alone product or to be used in conjunction with one of our Hazardous Waste DVDs to provide a complete product suite.

The video Hazardous Waste – Decoding the Regulations has been produced for managers who will be responsible for classifying and consigning waste. A shorter version Hazardous Waste – Consigned with Compliance is a cut-down version of “Decoding the Regulations”, designed for operators and supervisors, who may only have responsibility for the consignment paperwork and ensuring that hazardous waste is not mixed.

The videos can be used as an introduction and the PowerPoint used to explore aspects of the subject in more detail. The videos are in modular form so if you prefer you can select only those video segments appropriate to your presentation. Information on these, and other Shot in the Dark products can be found on www.shotinthedark.co.uk

If you are a ‘Green Weaver’ user you will find this PowerPoint is entirely compatible with that product and if you prefer, you can easily copy the hazardous waste slides that are appropriate to your audience into the ‘Green Weaver’ presentation. For example if you are providing a general awareness presentation that mentions the Hazardous Waste Regulations in brief you may only need a few ‘headline’ slides and some general illustration of the main points.

Getting Started

You can use all the materials directly from the CD – but if you wish to make changes, you will need to transfer the files to your computer hard drive. (If you need assistance, see the How To section). They may also run faster and more efficiently directly from your hard drive.

Before delivering any training, familiarise yourself with the materials.

  1. View the PowerPoint – designed to be tailored to suit the audience. Don’t feel overwhelmed by the number of slides in this package - as you edit the presentation to suit your own needs, you may find it reduces considerably in size. Add your own slides, if possible, that show examples from your own site. (Before making any changes, it is recommended that you first read the Script.)

Avoid “pulling punches” – if you have any shots of bad practice use them – this is important if you are training managers that may not often walk the site. It may be “assumed” that hazardous waste is segregated but if you have any shots of oil or flu’ tubes in the general waste skip, it will help gain attention, as it is hard to refute pictorial evidence. See the section on ‘How to modify and copy slides’ for instructions on how to adapt this package if you are new to PowerPoint.

Because of the differences between the jurisdictions in England, Wales, Scotland and Northern Ireland and the way the legislation has been introduced and the Hazardous Waste Directive transposed, extra slides have been added at the end of the presentation to cover some of these differences. You may wish to move or remove these slides depending on your location and the needs of the audience.
  2. Open up the Script. The paragraphs are numbered to match the slides. You can work on screen or if you intend making extensive change, you may find it helpful to print out a copy, mark the paragraph numbers where you will be changing the slides, then use the printed script to cross-reference with the PowerPoint.
  3. The script is also reproduced in the PowerPoint Notes Page view (accessed through the drop down ‘View’ menu. Use this view to help you rehearse your presentation or if you are using it as an individual training resource. You can also print out this view to give you a complete record of the programme for your files or to use as a prompt throughout a presentation. You may also wish to explore the print options to enable you to create handouts
  4. Change the PowerPoint
Remove the numbered slides that correspond with the numbers in the script but if you remove them in Slide Sorter view, the numbers will automatically adjust, so it is recommended that you start from the end and work backwards.
  5. Look at the Suggestions for Exercises and consider if these would help your training. If so, plan how and where to use them.
  6. There are a list of Useful Links – if you are connected to the internet, these will go directly to the sites or pages.
  7. For consultants and independent trainers we have included the application form for an Authorised User Licence, which enables you to legally create customised copies for your clients without infringing copyright or risking your clients being accused of piracy.

    And finally: Good Luck!

HOW TO

Transfer files to a hard drive: The files on the CD are read-only. To enable you to modify any of the sections, you will need to copy the files to your computer. In Windows Explorer, click on the CD drive, click on the folder of files to drag-and-drop onto your desk top (or preferred destination).

To access the PowerPoint presentations from the main menu screen, click on the PowerPoint icon. This will give you the option to PLAY or EDIT.

If you select play, you will be able to click through all the slides in the pre-set order. (Right click to display as full screen).

Select EDIT when you wish to modify any of the slides.

If you are not familiar with modifying PowerPoint programmes or inserting pictures, there are excellent instructions in PowerPoint if you click on the ? on the tool bar.

There are a number of ways to carry out a wide range of operations, but this is a very simple guide:

Top of page

Change text
Make sure the presentation is in Slide View (select from the drop-down View menu). Highlight the text to be changed and delete or add as in a word processing package

Add a new slide
In Slide View, select new slide from the Insert drop-down menu. From the visual options, choose if the new slide is to be a bulleted list, heading only or suitable to accept a picture. This will be created with the same background as the rest of the slides in the section and will show outline boxes where you can add text.

Change the order
From the View drop down menu, select Slide Sorter View. In this view, you will see thumbnails of all the slides in the presentation. Pass the cursor over the slides until you reach the slide to be moved. Hold down the left mouse button and drag the slide to the preferred position.

Delete a slide
In Slide Sorter View, left click once on the slide to be deleted then either use the ‘scissors’ cut command on the tool bar or hit delete on the keyboard.

Top of page

Copy a slide
In Slide Sorter View, left click on the selected slide, hold down the control key (a small + should appear next to the image) and drag the copy to the required position.

Insert a picture
Create a new, blank slide in the required position. If you know the position in your files of the picture to be inserted, in Slide View open the Insert drop-down menu, move down the menu to Picture, follow the arrow across to choose ‘From file’ and select the folder and file.
Alternatively, open the package you use to view pictures, select and open the picture you wish to insert. Click the copy option on the menu bar, return to the blank slide in PowerPoint and click Paste. This will insert the picture. To make it the full size of the slide, move the cursor over the corner of the image until the diagonal arrow appears, then drag the corners to the required size.

To Print Handouts

From the drop down File Menu, select print. Change the ‘print’ box from ‘Slides’ to ‘Handouts’. This will allow you to select whether to print anything between 1 and 6 slides per page, or 3 slides with spaces for notes or the Notes version which will provide 1 slide per page plus the script underneath the slide.
